AI automation agency FAQ

These are the questions businesses ask most before hiring an AI automation agency. They cover what it does, what it costs, how long it takes, who owns the work, where your data goes and how we work across time zones. Each answer starts with the short version, then the detail, and links to the page that covers it.

Getting started

What is an AI automation agency?

An AI automation agency plans, builds and runs AI systems that take repetitive work off your team, such as chatbots, voice agents, AI agents and automated workflows, connected to the tools you already use. You get working systems rather than software licences to set up yourself.

Is an AI automation agency worth it?

It is when you have repetitive, high-volume work that costs real hours each week and nobody in-house to build and maintain automation. It isn't when the task is small, rare or changes every week; a short call is enough to tell which side you're on.

When should I NOT hire an AI automation agency?

Don't hire one when the task is rare, small or still changing every week, or when an off-the-shelf tool already does it well. In those cases, we'll tell you so on the call.

What should I automate first if I hire an agency?

The task your team repeats most often that follows clear rules or readable documents, such as replying to leads, entering invoices or answering the same customer questions. It pays back fastest, and that's what the first call works out with you.

Can small businesses actually benefit from AI automation?

Yes, often more than large ones: a few hours saved each week matters more in a small team. The key is starting with one high-volume task rather than a big programme.

Choosing a partner

Should I use a platform or hire an agency for AI automation?

Use a platform yourself when the job is simple and you have time to set it up and maintain it. Hire an agency when the work spans several systems, touches money or customers, or you'd rather have it built, tested and supported for you.

Should I use Zapier, Make or n8n myself instead of hiring an agency?

Yes, for simple two-step automations you can set up in an afternoon. Bring in help when a workflow touches money or customers, spans several systems, or has to keep running when nobody is watching.

What is the difference between an AI automation agency and a freelancer?

A freelancer is one person and often costs less for a single build. An agency gives you a team, so there's cover when someone is away, written documentation and support after launch; Tailwebs has more than 50 developers behind this agency.

How do I know if an AI automation agency is legitimate?

Ask for work running in production, the people who will do it, a written scope with every cost listed and clear terms on who owns what at the end. A legitimate agency answers all four before you sign.

Cost and contracts

How much does an AI automation agency cost?

It depends on how many workflows, systems and channels are involved, so we give a fixed quote after a 30-minute call. The one rate we publish is the hourly rate for AI engineers, and third-party costs such as AI usage or message fees are billed at cost.

Are usage costs (calls, tokens) included in agency pricing?

Not in ours: AI model usage, message fees and call minutes are billed at cost and listed separately, because they rise and fall with your volume. Your quote estimates them from your expected volumes.

What should I watch out for in an AI agency contract?

Check who owns the accounts, code and workflows at the end, which costs are fixed and which grow with usage, what support costs after launch, and how either side can end the contract.

Who owns the accounts, API keys, prompts and workflow logic at the end?

[Ownership terms: accounts, API keys, prompts and workflow logic at handover]

How the work runs

How long does it take to implement AI automation?

Your first automation goes live in month one, and a full plan of three to five automations is live, tested and handed over within 90 days. A single simple workflow can take days; agents across many systems take longer.

Do AI automation agencies maintain workflows after launch?

Good ones do, and we offer it as a monthly retainer for support, fixes and new automations. If you'd rather run things yourself, every automation is documented and handed over with training.

What happens when the automation gets an input it doesn't understand?

It stops and passes the item to a person, with what it has worked out so far, rather than guessing. Each of those cases is logged, so we can teach the automation to handle the common ones.

Will automation replace my employees?

No. It takes over the repetitive part of their work, such as data entry, chasing and routine questions, so they spend their time on customers and decisions.
